QConnect privacy notice
1. Who we are
QConnect is provided by Mayerson Estates Ltd (company number 13618837), whose registered office is New Burlington House, 1075 Finchley Road, London, United Kingdom, NW11 0PU. Mayerson Estates Ltd is the controller of personal data used to provide and administer QConnect. Contact us at support@getqconnect.com.
2. Scope
This notice applies to the QConnect website, accounts, ChatGPT plugin, support service and connected QuickBooks Online and Excel features. A customer remains responsible for deciding which authorised users, companies and workbooks are connected and for ensuring that it has a lawful basis to use the information supplied to QConnect.
3. Information we process
Depending on how QConnect is configured, we process:
- account identity, contact details, organisation membership and role;
- connected QuickBooks company identifiers, accounting records requested by authorised users and encrypted OAuth credentials;
- Excel workbooks, worksheets, cell values, formulas, formats and exact pre-change backups;
- proposals, approvals, rejections, execution outcomes, audit events and organisation memory;
- subscription plan, billing status and usage measurements, but not full payment-card details;
- support correspondence and technical, security and diagnostic logs.
4. How we use information and our legal bases
We use information to authenticate users, provide requested integrations, enforce tenant and role isolation, produce previews, execute authorised actions, maintain backups and audit trails, administer subscriptions, prevent fraud and misuse, respond to support requests, improve reliability and comply with law. We rely on performance of a contract, our legitimate interests in operating and securing the service, compliance with legal obligations and consent where the law requires it.
5. Service providers and connected platforms
We disclose information only as needed to operate QConnect or comply with law. Providers and connected platforms include OpenAI for ChatGPT plugin interactions, Auth0 for identity and organisation authentication, Cloudflare for hosting, databases, object storage and security, Intuit for QuickBooks Online connectivity, and Stripe for subscriptions and payment processing. Those providers may also act as independent controllers for information they receive directly from users under their own terms. QConnect does not sell customer accounting data or use it for advertising.
6. International transfers
Some providers may process information outside the United Kingdom. Where required, we use an applicable adequacy regulation, the UK International Data Transfer Agreement or Addendum, or another lawful transfer safeguard.
7. Retention
Account and configuration data is retained while an account is active and for a limited period afterwards where needed for security, disputes or legal compliance. Organisation memory and audit retention defaults to 2,555 days and may be configured between 30 and 3,650 days, subject to legal requirements. Integration credentials are retained until they expire, are revoked or the connection is removed. Workbook backups, security logs and support records are kept only for the operational or legal period that applies to them. Limited audit evidence may remain after deletion where necessary to demonstrate that a controlled action or deletion occurred.
8. Security
QConnect uses encrypted credentials and protected records, role and tenant isolation, approval controls, exact pre-change workbook backups, audit trails and restricted administrative access. No internet service can guarantee absolute security. Please report suspected misuse promptly and do not send passwords, API keys, payment-card details or unnecessary accounting records by email.
9. Your rights
Depending on the law that applies, you may request access, correction, deletion, restriction, portability or objection, and may withdraw consent where processing relies on consent. Authorised QConnect users can also inspect, correct, export or request deletion of supported organisation memory. Contact support@getqconnect.com. We may need to verify identity and authority before acting. You may also complain to the UK Information Commissioner's Office.
10. Children
QConnect is a business bookkeeping integration and is not directed to children. A person must be legally able and authorised to act for the relevant business to create or administer an organisation account.
11. Changes
We may update this notice to reflect changes to QConnect, providers or law. We will publish the updated notice here and change the effective date. Material changes will be communicated where required.
